The primary responsibility of the office is to collect and report program information and financial data for state and federal agencies. The information collected includes enrollment, completion, and follow-up data.  Data is collected to meet the core indicators of performance as defined in the 1998 Carl D. Perkins Vocational and Applied Technology Act.

Other responsibilities of this division include facility/buildings, construction, and utilization, processing of new program applications, and adherence to state and federal policies.

Questions and Answers

  1. Question: I have forgotten my password to MSIS or MDED. What do I do? Answer: Contact MDE security administrator by e-mail. The e-mail address is secadmin@mde.k12.ms.us. In the e-mail, please include your name, social security number, username and telephone number.
  2. Question: For what do I use MDED and MSIS?
    Answer: Use MDED to print monthly student rosters, yearly district summary report and yearly placement worksheet. Use MSIS to update vocational teacher budget, print teacher budget, enter yearly placement information, view course codes and descriptions, view CIP codes and descriptions, view personnel schedules and view personnel certifications.
  3. Question: When I try to enter my username and password, I get error message ORA-12224:1NS:no listener. What did I do wrong?
    Answer: You have entered the wrong database name (MSIS, MDED) in the Database field.
  4. Question: When I try to print the student roster by clicking on run report nothing happens or not all pages print, what do I need to do?
    Answer: This could be one of three different things. First, sometimes the report opens in the background. Minimize your browser and the report should be there. Second, make sure you have Acrobat Reader installed on your computer. Third, in order to print reports in MSIS and MDED, you need to be using Netscape 4.79 as your web browser.
  5. Question: How will my special pops information be entered this year?
    Answer: All special pops information will be entered through your district school package. Your district does monthly submissions to MDE. This is how the special pops information will be updated in MSIS and MDED.
  6. Question: Can I wait until the end of the school year and enter special pops information in MDED like I did last year?
    Answer: No. All special pops information will come through your district school package this year.
  7. Question: I have printed my monthly student roster but some of my students are not on the printout. What do I need to do?
    Answer: In order for a student to be on the student roster five data elements must match on the teacher's schedule and student's schedule in MSIS. The five data elements are: 1)year, 2)term/semester code, 3)period code, 4)course code and 5)teacher's ssn. You need to go into MSIS, Modules, Students, View Student Data and see what is on that student's schedule. Then in MSIS, go to Modules, Personnel, View General Schedule and see what is on that teacher's schedule. Make sure that all five of the data elements match.
  8. Question: I have printed my monthly student roster but some of my vocational teachers are not on the printout. What do I need to do?
    Answer: In order for a teacher to be on the student roster four data elements must match on the teacher's schedule and vocational teacher budget. The four data elements are: 1)district number, 2)school number, 3)CIP code and 4)teacher's ssn. You need to go into MSIS, Modules, Personnel, View General Schedule and see what is on that teacher's schedule. Then in MSIS, go to Modules, Vocational Education, Teacher Budget and look at that teacher's information. Make sure that all four of the data elements mentioned above match.
  9. Question: When I go to MSIS, Modules, Personnel or Student, everything is grayed out. What do I need to do?
    Answer: You need to contact your district's MSIS primary contact and ask if you can get rights to the screens. If your superintendent will not sign the form giving you access to the screens, then you must work with your MSIS primary contact to resolve your rosters.
  10. Question: When I go to MSIS, Modules, Vocational Education the Teacher Budget is grayed out.
    What do I do?
    Answer: The Teacher Budget screen is only accessible one week a month. If you need to look at the data at a different time, then go to Reports, Vocational Data, Teacher Budget
    Reimbursement and print report.
  11. Question: I made changes to teacher's schedule and/or student's schedules in MSIS, then printed my student roster and the changes were not there Why?
    Answer: The student roster is not a real time report. It is a snapshot of your data as submitted on the monthly file. The new changes will not be reflected until the next month's student roster report is produced.
  12. Question: How often do you produce a student foster report? Answer: The student roster is produced each month, beginning with month 3, after all school districts have submitted their monthly file. Each district is suppose to submit their monthly file by the 10th of the next month. However; most times all districts do not clear until the 15th -18th. The student roster will be available no later than three working days after all districts have been processed for that particular month.
  13. Question: You have mentioned Acrobat / Adode Reader and Netscape 4.79 are needed to access MSIS and MDED. Where can I find them? Answer: DE has Netscape 4.79, Acrobat / Adobe Reader 4.05, and the J-Initiators available at its website. Go to www.mde.k12.ms.us, click on MDE Directory on right side of screen, click on Management Information Systems, scroll down to bottom of screen and on right of screen, click on Driver/Program Downloads. Click on the software you need to download. After downloading the software, you will need to execute the file you just downloaded.
